Owners and admins set things up in the venue console. Its Parties page keeps a short checklist until the four steps are done: your logo, your privacy sentence, a live key and your first booking.

Before bookings go live

Each booking your system sends carries the booker’s details, so two things need to be in place first: a sentence in your privacy notice, and a data-sharing note we both sign.

Word for word or in your own words is fine. Settings in the console has the same sentence to copy in one tap. We send the data-sharing note to your account email to sign.

Which bookings offer invites

  • Every booking type your system sends is listed in Settings, with a switch to offer invites or not. Turn off things that aren’t parties, such as open play sessions.
  • Each type can start as a set occasion, such as a kids’ birthday, or leave it to each booking. A booking that doesn’t say makes a kids’ birthday.
  • Ask me first holds a new booking type back until you switch it on. Offer invites straight away lets it offer invites from its first booking.
  • One switch pauses every link at once. Invites hosts have already made keep working.

Keep your keys safe

  • Your booking system uses a key to send each booking to us. Anyone with a key can start invites in your venue’s name, so treat it like a password.
  • A new key is shown once. Paste it into your booking system’s settings straight away; we only keep a scrambled copy.
  • Don’t paste keys into email, chat or a support ticket. We will never ask you for one.
  • If a key is lost or someone leaves, revoke it in the console and make a new one. Bookings sent with a revoked key are refused.
  • Only owners and admins can see the keys page.

What hosts and guests see

  • Hosts land from your booking email on an invite with the date, time and address filled in and locked, so the invite matches the booking.
  • Your logo sits on the host’s first screen and on the invite, under the party details. Until you upload one, invites show your name in your colour.
  • A room name and how many the booking is for show when your system sends them.
  • Guests see the invite and how many are coming, never who. They don’t need an app or an account.
  • Moves and cancellations from your system update the invite by themselves.

What your team sees

Your team sees each party’s headcount, how many have replied and how many grown-ups are staying, but never guests’ names, notes or replies. Those stay with the host.
